Overview
1. What is AI scribe?
AI Scribe is a new feature that records and summarizes client conversations. It acts like an expert note-taker that keeps track of everything you discuss and creates a draft note that you can review, edit, and finalize.
2. How does it work?
First you use the IMPaCT app on your phone to record your conversation. When you’re done recording the app creates a transcript of the conversation, then sends the transcript to an AI tool to create a summary. You’ll see the summary appear as a draft note in the client chart.
3. Can I use it for phone calls or video calls?
Yes. Please note that you must be able to record both sides of the conversation when you are on a phone call or video call. For example, if you’re on a video visit on your laptop, you can use the laptop speakers and microphone and record the conversation by putting your phone next to you. However if you’re on headphones it won’t be able to “hear” both sides of the conversation.
4. I like to dictate my notes. Will it work for that?
Yes. If you’re dictating you can use the transcript of your dictation to create your draft note.
5. Will this work with languages other than English?
Maybe. We built and tested this feature for conversations in English so we know it works well for English. The transcription and summary tools also work for other languages such as Spanish, but we can’t confirm the quality of the transcript or summary. If you’d like to try AI scribe with other languages, please take good notes and check the quality of the summary.
How to share it with your clients
1. How should I introduce AI scribe to my clients?
Before using AI scribe with your client for the first time it’s important to let them know that you’d like to use this tool and check with your client whether they consent to their information being used this way. We recommend the following language:
“Before we get started, is it ok for me to turn on my notetaker? I use this to make sure I don't miss anything and can just focus on you. The recording won't be saved on my phone after we finish."

2. Should I check with my client every time I use it, even if they’ve previously said yes?
Yes, we recommend that you check each time.
3. What if my client says no?
That’s ok! Let them know that it doesn’t affect their work with you and you’ll take notes instead.
Data security and management
1. What happens to my recordings – are they saved?
Audio recordings are saved in a secure server so the transcript and summary can be generated. The recording is not saved on your phone. You can access the audio recording through the IMPaCT app only if the transcript wasn’t generated successfully.
2. Are my recordings being used to train an AI model?
No. Your recordings and their summaries will not be stored by or used to train the AI model that powers the IMPaCT app (we use GPT from OpenAI).
3. How is all of this information being kept safe?
The IMPaCT app follows industry standard best practices for security and this applies to the information that is being captured and generated with AI scribe. All partners that we work with for AI Scribe are HIPAA-compliant and we practice end-to-end encryption for all data.
