Orientation to the enrollment tracker bar
The enrollment tracker bar helps you keep track of how many clients have been enrolled at an organization, program, and CHW level.
As mentioned in Enrollment Planner: Setting an Enrollment Period and Goals, the enrollment tracker is available once you have set both the enrollment period and the enrollment goal for a program. If a program is missing one of these pieces of information then the tracker bar is not available.
Let's walk through an example tracker bar. This is a tracker bar that you would see for a program that has been active for a while and has had many clients enrolled.
- Start of the enrollment goal period: This is the start date that was set in the enrollment goal set-up tool.
- End of the enrollment goal period: This is the end date of the goal period, this is automatically set at 1 year after the start period.
- Actual enrollment (mountain climber): This is the number of clients who have been enrolled since the start of the enrollment goal period.
- Expected enrollment (purple flag): This is the number of clients expected to be enrolled during the goal period. It's based on the actual number of enrollments plus the expected enrollments from on-call shifts. When you add, edit, or delete on-call shifts you'll see this number change accordingly.
- Enrollment goal (mountain): This is the enrollment goal for the goal period. It's what was set in the goal set-up tool.
Viewing the tracker bar at the organization, program, and CHW level.
The tracker bar can display information for the whole organization (all programs), a single program, or for individual CHWs.
Organization level
To view the tracker bar at the organization level, make sure that the program filter at the upper right of the screen is empty (no program is selected). This is the default setting and if available when the enrollment goal period and an enrollment goal have been set for every program.
Program level
To view the tracker bar for an individual program, select the program from the filter.
Individual CHWs
Tracker bars for individual CHWs can be viewed at either the organization or program level. They can be accessed by clicking the down button located beneath the tracker bar.
This expands the details of CHW enrollment.
If you have been viewing enrollment at the organization level, the number in CHW tracker bars represent the number of clients a CHW has enrolled across all programs. If you have been viewing enrollment at the program level, the number in CHW tracker bars represent the number of clients a CHW has enrolled in that specific program.
