To start creating enrollment events for your team click on the green plus button in the upper right of the calendar:
You’ll see a side panel appear. To create a new shift you’ll have to fill out several pieces of important information.
- Program (required): This is the program field. It will show whatever program the enrollment planner is currently filtered to. In this case because we’ve set the filter of the enrollment planner to the Children’s Health program, you’ll see that this is pre-filled for us. You can change this program if you want.
- CHW (required): This is the CHW whose shift you are creating. This field is related to the Program field. So when you have a Program selected, the CHW options will only be those CHWs who are in that program. If you want to be able to choose from any CHW, first make sure that no program is selected in the program field.
- Type (required): This is where you select the kind of shift this is. On-call means the CHW is reaching out to and enrolling new clients. Unavailable means they are out of the office; Unavailable remind you of when NOT to schedule CHWs for shifts.
- Date (required): This is the date of the shift. If the shift spans more than one day, you can add a different end date.
- Start/End Time (required): This is the start and end time of the shift. When you have a different start date and end date, the start time applies to the start date and the end time applies to the end date.
- Repeat Every: If you want the event to repeat regularly you can enter a number of days or weeks here. Sometimes CHWs will have the same enrollment shift every week so it’s nice to create a repeating event instead of making a new one for every week.
- Location: If there’s a particular location of the event you can enter it here
- Expected Enrollment: This is approximately how many clients you’d expect the CHW to enroll over the duration of the shift. This number is based on the length of the shift and can be increased or decreased by your IMPaCT account manager based on your organization’s experience and expectations around enrollment.
- Notes: You can enter notes you want to make to yourself here.
- Add: Once you’ve filled out all the details you can add the shift.
After you add the event you’ll see a confirmation message!
