Defining your enrollment goal period and enrollment goals
The first step in using the Enrollment Planner is setting your enrollment goal period and enrollment goals.
- The enrollment goal period is the time period over which you aim to fulfill your enrollment goals. This goal period applies to all programs and the length of the goal period is automatically set to one year so you just need to set the start date. The start date can be the date when your CHWs will begin enrolling clients or another date that makes sense for your program’s reporting.
- The enrollment goal is the number of clients that you and your team would like to enroll over the year of the enrollment goal period. Each program should have its own enrollment goal.
Once you have these dates and goals defined you can enter them into the application and start track ing your progress toward your goals. Of note, only program directors can enter and modify an enrollment goal period and enrollment goals.
Entering your enrollment goal period and enrollment goals
Here's how to enter your enrollment goal period and enrollment goals.
- When you navigate to the Enrollment tab for the first time, a window will pop-up that takes you through a sequence for setting the enrollment goal period and the goal for each program.
- To set a date, enter the desired start date. This can be the date when CHWs begin enrolling clients or another date that makes sense for your organization’s reporting. The system will automatically count your enrollment goal period as lasting a year from the date you entered.
- Next, you’ll be walked through a sequence of windows for you to enter the enrollment goal for each program in your organization. You can click “Template” to download an enrollment worksheet to help you. If you’re still not sure, you can leave a program blank or enter your best guess and come back to update it later.
- In the final window you can close to save. However, if at any point you exit out, your changes will be automatically saved and applied.
Updating the enrollment goal period or program goals
- If you are missing some information – either the goal period or the enrollment goal for a program, every time you navigate to the Enrollment tab the enrollment set-up pop-up will display. If you’re not yet ready to enter a goal that’s ok, just close out the pop-up and you can still use the calendar.
- Once you have entered the goal period and an enrollment goal for every program, then you will see the tracker bar appear and you will see a pencil next to it. The tracker bar is explained in more detail here.
- At any point if your goal period changes or you need to change the goals for a program (for example, if a CHW leaves or you grow your program with new CHW team members), you can click on the pencil by the tracker bar to make edits. In general you’ll want to minimize the number of edits as not to change things on your team too often, but it’s ok to change these values when you need to.
Resetting the goal period date
When you’re at the end of your goal period one-year after the start date of the goal period, the enrollment goal you entered will clear and the goal-setting pop-up will reappear.
