Introduction to My To-dos
My To-dos is a master list that brings together all of your clients’ To-dos into one place that you can access from anywhere in the app. My To-dos makes it easier to stay organized across your entire caseload and it automatically talks to each client’s Roadmaps so they’re always in sync.
My To-dos works differently for CHWs and supervisors so we’ll start out with how My To-dos works for CHWs, then cover how it works for supervisors. If you prefer watching a video, jump to the bottom of this article for a video overview of this feature!
My To-dos for CHWs
Orientation to My To-dos
My To-dos can be accessed from anywhere in the IMPaCT app. Click on the teal To-do icon on the bottom right to pull up My To-dos.
For CHWs, My To-dos automatically pulls together all the To-dos for any clients who are assigned to you and are either enrolled or currently undergoing outreach -- so specifically clients' whose status is Enrolled, Pending, Maybe, or Not Reached.
Once a client moves out of those statuses, for example, moving from Enrolled to Graduated or back to Pre-outreach, their To-dos will no longer be shown on your My To-dos list. (You can still find their To-dos under Roadmaps in the client chart, but they won’t be displayed in My To-dos any longer.)
When you look at My To-dos, you’ll see a number of buttons at the top. Here’s what they do:
- Date view vs. Client view: At the very top is a switch for choosing Date view vs. Client view. What you see here is Date view. We’ll cover each of these in more detail.
- Filter: Next is a filter that you can use to narrow down To-dos by status. It works just like the one in client Roadmaps.
- Search: Then you have a search function that will search your To-dos by keyword and by client name.
- Quick expand/collapse all: To the right of the search is a button that lets you quickly expand or collapse all the sections your My To-dos. This is helpful when you want to quickly navigate to a certain date or client!
- New To-dos: Beneath this is a spot for adding new To-dos – it’s always ready & available.
Now that you're oriented let's talk about how to create a new To-do.
Creating a new To-do
To create a new To-do, click on the the space that says “Type to add a to-do or event” and enter the description or your To-do. You’ll also see a row of icons appears beneath what you’re typing. Here’s what they mean:
- Client: This is where you can label this To-do with a client. To find your client, type in their name to search and select them from the results. The list of clients you can search from includes only those who are on your My To-dos list – so clients who are assigned to you who are Enrolled, Pending, Maybe, or Not Reached status.
- Goal: Once you’ve selected a client for your To-do, you’ll have the option to assign their To-do to one of their goals. If you haven’t selected a client, you won’t see this goal icon.
- Date and time: You can select a date and time for your To-do. The date will correspond to where your To-do is organized in Date view of your list. You can assign only a date or both a date and a start time/end time.
- Notes: This is where you can jot down any notes to yourself that will help you in accomplishing this To-do. For example, you might want to put a link to the housing form you’re going to fill out, or remind yourself of the color of your client’s door so you can their place easily.
- Location: Add an address or building name of the location of your To-do
- Color: Add a color to your To-do to help stay organized. By default all To-dos have a teal color
One more thing about the icons: when they don’t have any information with them, the icons will appear grey (except for color since that’s teal by default). Once they do have information there, for example you’ve added a client or date, the icon will appear highlighted in the color of the To-do. Here’s an example of a To-do without any of the additional fields filled out on the left vs. one with all fields filled out on the right.
Date view
There are two main views of the My To-dos list: Date view and Client view. We'll cover Date View first. As mentioned in the Orientation section, you can select Date View by clicking on the calendar icon at the top of My To-dos.
When you’re in Date View, all of your To-dos are organized by their due date. At the very top you’ll have undated To-dos in the section labeled "No date" (1). This is where any To-dos that don’t have an assigned due date will live.
Underneath the “No date” section you will have Overdue To-dos (2) – these are Active To-dos whose assigned due date has already passed. Within this section, To-dos are organized chronologically by due date from oldest to most recent. To get a To-do out of this section, assign it a new due date in the future, or if you decide that it’s no longer relevant, you can abandon it.
Below this, you’ll see your To-dos organized chronologically by due date. Every date that has a To-do will have a heading. You can expand or collapse each date to see or hide the details. And if you want to expand or collapse everything at once you can always click on the quick expand/collapse all button.
Client view
The other view is Client View. You can select Client View by clicking on the clients icon at the top of My To-dos.
When you’re in Client View, all of your To-dos are organized by client. At the very top you’ll have To-dos that aren’t assigned to any client in the section labeled "No client". These could be To-dos that you want to keep track of for yourself such as a training you need to go to or some research you wanted to do that isn’t specific to one particular client.
Next, you’ll see your To-dos organized by client. Clients are listed alphabetically by first name. Beneath each client name are all of their To-dos. Just like with date, you can expand or collapse each client name to see or hide the details.
Within each client, the To-dos are ordered in the same order that their are in the client’s Roadmaps. Let’s take a closer look at this by looking at the client Stephanie Morgan. You can see that their first To-do is “schedule hearing appt” and their second To-do is “Hearing exam setup”. Now, go Stephanie Morgan’s chart and their Roadmaps. When you go to Stephanie’s chart you’ll see that her To-dos are in the same order in client view as they are in her chart.
My To-dos for supervisors
So far, what we’ve covered is how My To-dos work for CHWs. There is also a version My To-dos for supervisors! If you’re a supervisor, accessing My To-dos is easy – just click on the To-do icon in the bottom right from anywhere in the app.
The biggest difference with My To-dos for Supervisors is that My To-dos is truly just for your own To-dos. Client To-dos are the responsibility of CHWs, so no client To-dos are added to your My To-dos. Additionally, you cannot create To-dos for clients from your My To-dos.
Because of this, there is no Client view in My To-dos for supervisors. My To-dos will always appear in order of their dates, just like Date view in the CHW version.
