Setting Goals and To-Dos within the Client page.
Part of working with clients is setting up goals and to-dos to keep you both organized and on-track during your work together. Here's how to manage those goals and to-dos within the "Our Work" tab.
Goals and To-dos are foundational to the Roadmaps portion of the IMPaCT Arc. Here's how we define Goals and To-dos in context of working with clients:
- A Goal is set within the client roadmap and should be achievable within the time a CHW is working with that client. For example, if a CHW is working with a client for 6-8 weeks, a goal should be something that can be completed within those 6-8 weeks.
- A To-do is a task that will contribute to achieving and reaching a Goal. For example, if a client's goal is to make a friend who lives nearby, a to-do might be to go to a community picnic at a local church.
Goals
To document and track goals, you'll use the the Roadmaps section on the right hand side of the Our Work page.
In the red box is the mountain icon that will toggle the Goals section. To add a goal, click the plus sign, highlighted in the orange circle below.
When adding goals, you can also add due dates/check in dates for these goals by clicking the calendar icon next to each goal.
After setting dates, they'll be visible beside the goal. Below, the due date is shown as (Nov 30).
To manage goals, you can hover over each one and you'll have an option to set due dates, to-dos that align with that goal, and abandon (remove) the goal by clicking the garage bin icon. Supervisors and managers will also have the option to use a check box to mark goals as complete.
Filtering goals by status
In goals, you also have the option to filter by their status.
The statuses are Active, Completed, and Abandoned, and you can select multiple statuses if you wish. If you don't select any then all statuses are displayed. Here are what the statuses mean:
Active: The goal is active and currently being worked on with the client. These can be paired with to-dos for better tracking and understanding of how to complete that goal.
Completed: The goal has been successfully completed, and a CHW has checked in with their supervisor/manager to have the goal marked as completed. (Only managers and supervisors can mark goals completed.)
Abandoned: A goal that has been abandoned (ex: may no longer be a priority for the client). To abandon a goal, simply click the garbage icon that appears when hovering over the goal. Abandoned goals can be reactivated at any time by unchecking the goal. All to-dos associated with that goal will also return to active status.
To-Dos
To-dos can take a few different forms - individual to-dos versus to-dos that are directly associated with goals. Individual to-dos may be something more short term. Maybe a client's home is too loud to have a conversation in, so it's difficult to focus on one-on-one meetings between that client and their CHW. An individual to-do in this situation could be to simply find a new place to meet, like a coffee shop down the street or a local park.
To dos that fall under goals will be more targeted to achieving that specific goal. An example of this could be that a client has a goal to eat healthier meals. In order to do that, a to-do for this goal could be to find 3 recipes they're excited about. Another related to-do could be to make one of the recipes together during a visit.
To put this in practice in the app, under each goal, you have the option to add to-dos. These are tasks that will help CHWs and clients track their progress through each goal. You also have the option to add individual, stand-alone to dos.
Adding Individual To-Dos
To Dos can be added to their own list by selecting the check mark toggle to the left of the mountain (Goals) icon, or they can be added directly to specific goals. Below, you can see the stages of adding a to-do independently.
To add an independent to-do separate from a goal, click the plus sign and enter your goal, then hit enter to save it. You can also set dates to have these to-dos completed by, start times, end times, and a cadence of how frequently this goal should be completed. For example, below, this CHW is adding a to-do for the client to check their blood pressure daily between 8 AM and 8 PM, then journal their readings. Ideally, this is something the CHW will follow up on with the client at their next meeting (11/30/2023).
Setting To-Dos for Goals
To set to-dos specific to a goal, navigate to the mountain toggle next to Roadmaps to access Goals.
Completing and Reactivating To-Dos
As a CHW completes to-dos with their client, it's important to mark those to-dos as complete to track their progress through the program.
Once to-dos are added to the list, they are considered Active and will have an empty check box to the left of them. Once a box is checked off, that to-do is considered Completed. You can filter to-do statuses by using the dropdown menu and select what status you'd like to view.
Whether you completed a to-do by accident or want to re-add it to your to-do list, you can always use the dropdown status menu and select the Completed filter to see to-dos that have already been completed. To move a completed to-do back to active, simply uncheck the box. The to-do will return to the active to-do list.
Below, the "check blood pressure" to-do was completed. The CHW then decided they'd like to make it a to-do again, so they filtered the list by "Completed" to-dos and deselected it by clicking the box to the left of the to-do. Once they filtered by Active, they can see the to-do is now active once again.
To add to-dos to a specific goal, simply hover over the goal and select the to-do icon . You can add as many to-dos as you'd like under each goal.
With each goal, you can edit and complete to-dos on your list.
To mark a goal as completed, simply click the check box to the left of the goal. A pop up will appear in the top right hand corner that says "to do was completed".
If you have accidentally marked a goal as Completed/would like to re-add that to-do to your goal, simply use the drop down menu and select "Completed". You will see all to-dos that have been marked as Completed, where you can then unselect/uncheck the box. In the top right corner, a notification will appear that says "to do was reactivated". If you return to the drop down menu and deselect Completed and select Active, you'll see that to-do under the correct goal again.
Abandoning and Reactivating To Dos
To abandon a to-do, simply hover over the goal and click the trash can icon. The pop up in the top right hand corner will say "to do was abandoned".
Want to bring back an abandoned to-do to your goal? In the dropdown menu, select "Abandoned". Just like the reactivating example, you'll see all to-dos that have been abandoned. Hover over the to-do you'd like to reactivate, then click the circular arrow button to the right. Those to-dos will repopulate under their original Goal if you return to the Active goals list.
